This Privacy Policy explains how Holu Technologies Ltd ("Holu", "we", "us") collects, uses, and protects information when a school and its members use our platform. Holu is a multi-tenant service: each school is the data controller for its own records, and we act as a processor on its behalf.
On behalf of a school we process student, staff, and guardian records (names, contact details, academic data, attendance, and financial records such as invoices and payments), account credentials, and lesson content uploaded by teachers. We also collect basic technical data (log and device information) needed to operate and secure the service.
Information is used solely to provide the platform's features — managing students and staff, processing fees and payroll, sending notifications, and generating AI study materials from a teacher's own lesson notes. We do not sell personal data, and we do not use student data to train third-party AI models.
To protect accounts against unauthorised access, we record sign-in attempts — both successful and failed. Each record holds the date and time, the email address or admission number used, the IP address the request came from, and the browser/device identifier (user-agent). These records are visible only to platform operators and the relevant school's administrators, are used solely for account security and troubleshooting, and are automatically deleted after 90 days.
We rely on trusted processors to deliver the service, including payment providers, messaging providers (e.g. WhatsApp, Telegram, SMS, email), file storage, and AI providers used to generate study packs. These providers process data only as needed to perform their function.
Data is retained for as long as a school's account is active or as required by law, and is protected with encryption in transit, access controls, and tenant isolation. A school may request export or deletion of its data.
Individuals may request access to, correction of, or deletion of their personal data by contacting their school administrator or us at our contact page.
